Refund and Cancellation Policy

Overview
This policy explains how to cancel a DataSquares subscription, when we refund a payment, and how the money reaches you.
DataSquares is provided by Digisquares Technologies Private Limited ("we", "us"). Plans, seats, add-ons and packs are bought in the DataSquares app, at app.datasquares.ai under Administration → Billing, and paid through Razorpay, our payment partner. Enterprise is sold by agreement: where a signed agreement with us says otherwise, the agreement applies.
Free trial
The 14-day trial needs no card, and nothing is charged when it ends. Nothing is deleted either: dashboards stay readable and Billing stays open, so an administrator can choose a plan when your team is ready. Paying for a plan ends the trial for the whole company.
Paying for a plan
Plans are invoiced at the start of each billing period: monthly or annually for Team and Business seats, and monthly for Pipelines, the Warehouse and the Platform bundle.
You pay on Razorpay's payment page, or automatically from a method you approved there, and card and bank details never reach us. A plan, with its seats and sizes, is active as soon as the payment is confirmed. A renewal's invoice is issued on the renewal date and is paid automatically when auto-pay is on, or by the link in the email we send.
A purchase (an order of seats, a plan change, a switch, a pack of credits or hours) is never charged automatically, except the packs auto top-up buys. One that is still unpaid after 14 days is cancelled, so no payment is owed for it. Its payment request is withdrawn. Buying credits again cancels an earlier credit pack you haven't paid for, and an hour pack does the same for unpaid hour packs of its kind; a purchase whose payment is already on its way is never cancelled. You can cancel one sooner with "Cancel order" on Administration → Billing, or "Cancel purchase" on its invoice.
Cancelling a subscription
You can stop a subscription from renewing at any time: choose "Cancel renewal" on Administration → Billing → Renewal, or "Stop renewal" in the Android app. Before anything changes, DataSquares tells you what will happen and when. An overdue invoice must be paid first, and where something else depends on the subscription, such as the Platform bundle on your Business editor seats, Billing says what to do first.
The subscription keeps running until the end of the period you have paid for, then ends; a plan ends for everyone in every workspace of your company. Nothing is refunded for the rest of that period, and you can turn renewal back on until it ends.
Cancelling a renewal also withdraws a change that was waiting for it, such as a switch between monthly and annual billing, or into or out of the Platform bundle.
If the next period's invoice has already been issued and is unpaid, cancelling voids it, with a credit note, and stops its automatic payment; any usage it carried, such as AI credits used below zero, is billed on an invoice of its own. An automatic payment already with your bank cannot be stopped, so while one is, the renewal can be cancelled only once it has gone through or failed, and Billing says so, with the day it should be debited. If part of that invoice has been paid, write to billing@datasquares.ai to cancel.
What we keep after a plan ends, and how to have your data deleted, is set out in our Privacy Policy.
Fewer seats, a lower plan or a smaller size
Removing seats, moving to a lower plan or a smaller size, and switching between monthly and annual billing take effect when the current period ends. Nothing is charged or refunded for them, and nobody loses access before then.
Moving up, to more seats, a higher plan or a larger size, is charged now for the days left in the current period. When seats move to a higher plan, what you paid for the old seats' remaining days is taken off that charge.
A switch into or out of the Platform bundle whose credit is larger than its cost bills and refunds nothing at the time. The credit left over is never paid out: it comes off later renewals until it is used, cannot be spent on anything else, and lapses if the bundle or that subscription ends first.
Automatic payments
Where automatic payments are available, you can turn on auto-pay. With auto-pay on, each renewal and usage invoice in rupees is charged, once your bank has confirmed the method, to the card, UPI Autopay or eMandate you approved on Razorpay's page; an invoice above the method's limit comes as a link to pay instead. We email the company administrators and the billing contact at least 24 hours before every automatic payment, with the amount (GST included), the date and the method.
Where automatic payments are not available, Billing offers no way to set them up, nothing is charged automatically, and each invoice comes by email with a link to pay.
To stop automatic payments, choose "Turn off" on Administration → Billing → Pay automatically, or remove the payment method there. Do it before the date in that email and nothing is charged: the invoice stays open for you to pay by link.
You can also pause or cancel UPI Autopay in your UPI app, or cancel an eMandate with your bank; turning off UPI Autopay in Billing ends it in your UPI app too. Nothing is charged to a method that is paused or cancelled, and each invoice then comes by email with a link to pay.
Auto-pay is for invoices in rupees; invoices in other currencies are paid by link.
AI credit packs and hour packs
AI credit packs, execution-hour packs and query-hour packs are bought separately from plans, and their credits or hours are added once the payment is confirmed. Credit packs never expire; an hour pack lasts to the end of its twelfth month.
Auto top-up, when you turn it on, buys a credit pack automatically when credits run low, up to the monthly limit you set, which counts each pack with its GST. It can be turned on only where automatic payments are available. You can turn it off at any time under "Auto top-up" on Administration → Billing.
A pack is not refundable once its credits or hours have been added.
Refunds
We refund a payment, or the part of it that is due back, when you paid an invoice twice or paid more than it asked; when a payment reached an invoice after it was voided or could no longer be paid; when you paid toward a plan change that our billing team then cancels; and when we charged you in error.
Apart from these, payments are not refunded: not for the unused part of a period after you cancel a renewal, remove seats or move to a lower plan or a smaller size; not for a pack whose credits or hours have been added; and not for use past an allowance, or AI credits used below zero, already billed on an invoice. This does not limit any refund the law requires.
To ask for a refund, write to billing@datasquares.ai with the invoice number. Our team reviews each request, and an approved refund goes back to the original payment method through Razorpay.
You can follow it on the invoice, under Administration → Billing → All invoices: it reads "A refund is in progress" once we have sent it to Razorpay, and "Refunded to the original payment method" once Razorpay confirms that the money has moved. Banks usually take 5 to 7 working days to show a refund in your account.
Duplicate or wrong charges
If you paid an invoice twice, or paid more than it asked, the invoice shows "You paid more than this invoice" while the extra amount is reviewed for a refund. Write to billing@datasquares.ai with the invoice number, and we return the extra amount to the original payment method.
If you think we charged you wrongly, or money left your account for a payment that Billing does not show, write to billing@datasquares.ai with the invoice number, or the date and amount of the payment. We check it with Razorpay and refund anything we should not have charged.
Failed and overdue payments
A payment counts once Razorpay confirms it. If a payment does not go through, the invoice stays open; if an automatic payment does not go through, Billing says so, with "Pay now" and "Change method". While an automatic payment is with your bank, Billing says when it should be debited and offers no "Pay now", so an invoice is never paid twice.
We email reminders for an unpaid invoice, with a link to pay, and Billing shows the date to pay by. If it is still unpaid on that date, the plan's paid features pause for everyone in your company until it is paid, and after a further grace period sign-in is suspended. Paying the open invoice restores the account automatically until the period that invoice covers has passed. After that the invoice is voided, with a credit note, nothing is owed for that period, and the subscription ends: you start again with a new purchase. A renewal paid late starts where the paid period ended.
Taxes and credit notes
Prices exclude taxes. For customers in India we add GST: CGST 9% and SGST 9% when the place of supply is Tamil Nadu, and IGST 18% for any other state. Customers outside India are invoiced at 0%, as a zero-rated export of service; a business abroad accounts for any VAT or GST due in its own country under its reverse charge.
Invoices and credit notes are issued by Digisquares Technologies Private Limited, GSTIN 33AAICD2660A1Z8. When a refund returns money paid for the service itself, rather than an overpayment, we issue a credit note with it: a numbered tax document that names the original invoice and splits the refund into its taxable value and each tax, as the invoice did. It downloads as a PDF from the invoice, and the original invoice is never changed. A tax invoice that is voided is reversed in full by a credit note too.
